Lab Monitor’s Responsibilities

ATTENTION TO ALL LAB MONITORS:
The lab monitor meeting will be held at OP-1220, August 26, 4:30 p.m.
Please show up to the meeting ON TIME if you are interested in getting the position.

The lab monitor position is a service provided to all Art and Viscom majors. Without this service, the labs will not be open in the hours between 5:00 p.m. and midnight weeknights or on the weekends. You are the only students who are listed with DPS to gain access to the labs and are the ones whom the responsibility rests if any equipment is damaged or stolen. You will be the first asked as to what happened in the labs if problems arise.

Lab Monitor’s Responsibilities & Expectations
A. Take Shifts
➢ Lab monitors are required to be physically present in the lab at all times.
DO NOT LEAVE THE LAB(s) UNATTENDED!
➢ Lab monitors should respect the signed-up working shifts, and come to the lab
ON TIME.
➢ To find a substitute lab monitor for your hours, please update Professor Xu prior to one  week if you cannot work your scheduled hours. Professor Xu will endorse the final solution.
➢ Every lab monitor’s contact number is posted on the wall. Please contact your next working shift taker if he or she doesn’t show up on time.
➢ Lab monitors are responsible to immediately update your contact number if you have changed.
➢ Lab monitors are required to sign-in the time sheet. Also, it is NOT ALLOWED to sign-in on behalf of other lab monitors.
➢ The last shift taker should turn in the entire day’s time sheet under Professor Xu’s door when the last shift is completed.
➢ If the lab monitor is late more than 10 minutes and without any notification in advance, a verbal warning will be given. Professor Xu has the right to layoff the lab monitors who are cumulatively given three warnings during the semester.

B. Safety and Security
➢ The first shift person(s) have to call Department of Public Safety (DPS) at 660-785-4176 to gain entry into the lab(s) if the room is locked.
➢ To make sure the lab(s) is secured. The last shift person(s) have to call DPS to lock the doors if they are unlocked.
➢ To SECURE the room(s) if a lab monitor does not show up for work and there is no other lab monitor scheduled. This means clearing the room of students and locking down the room. If any student refuses to leave the room, please call DPS and request that they come over and remove the student so the room can be secured.
➢ To SECURE the room at the end of the evening. All OP-1224 computers and printers must be shut down, and DOORS LOCKED.

C. Cleaning
➢ To keep the rooms (OP-1220 and OP-1224) CLEAN AND ORGANIZED for classes the next day.
➢ To make the students pick up their mess as they make them or…
➢ To pick up the room(s) throughout the evening.
➢ NO FOOD or DRINKS allowed in all COMPUTER LABS!
➢ DO NOT ALLOW any X-acto knife cutting on the wooden tabletops. Use the self-sealing mats.
➢ The paper cutter is for paper and illustration boards. Do not allow Foamcore to be cut with the paper cutter.
➢ Clean the sink area (inside OP1220) once a week.
➢ The first shift taker is required to come to lab 5 minutes early for dusting the computer screens and table tops every day before open the lab doors.

D. Facility
➢ Show best of your ability to answer questions about software and/or hardware.
➢ Lab monitor is required to let Professor Xu know if there are any hardware or software problems in the lab(s). Which computer (name and number) or peripheral? What software on which computer? Which printer?

If the lab and print monitors have any problems, the monitor needs to notify the supervisor. If it is something you can take care of, do so. If it is something the supervisor needs to do, drop him an email and he will take care of it.

Print Monitor Additional Duties

  • Each job needs to have a Work Order, print receipt, paper and file upload to the server; otherwise the job will not be printed
  • Check to see if there any jobs to be printed
  • Grab the job in order they are in according to the Inkjet sign up sheet
  • Delete files after you have printed them and cross off the work order that you have printed on the sign up sheet, also note if you had any issues with the job.
  • Once the job has been printed, deduct the amount of $ from the print receipt and return the job, work order and print receipt to draw mark “Printed”
  • Once you printed all the jobs on the sign up sheet, you can print your job only at the end
  • Leave the Print Monitor computer on at all times but log off
  • Only print pdf files and you open the files in Acrobat Reader, do NOT use preview
  • Always preload the paper first to make sure it has been loaded correctly
  • Use only EPSON paper for the Epson 4880; all other paper can be run on the HP
  • Print what you can during your shift, but you are NOT required to stay longer to finish printing
  • If you cannot work your shift, find another Print Monitor to work your shift and notify the supervisor about the issue
  • If you make a mistake or if the printer is banning; then reprint the job at no extra cost
  • Turn off the printers when done printing except the Epson7900, which is the one that has to stay on at ALL, times!!!
  • Once a print receipt has a balance of $0, you slide the sheet under door of Prof. Nelson’s office
  • Make sure the main lab and illustration lab is cleaned up at all times

Supplies

  • Notify the supervisor when you used the last cartridge in the draw of each color and when you have replaced the roll feed on the Epson7900 (we do recycle the cartridge; do not throw away but turn in the empty toner cartridges to the supervisor)
  • Notify the supervisor when more paper is needed: letter and tabloid
  • Extra Inkjet sign up sheets should be available in the Printer Room, find the file to print in the the print monitor computer if you need new sheets.

 First Print Monitor of the DAY

  • Needs to run a print head check on the Epson7900, Epson 4880, and HP inkjet printer at the beginning of each day;

 End of your shift

  • Shut off the lights and all printers except the Epson 7900
